Receptionist

The Receptionist and Front Desk Administrator is responsible for providing a professional and welcoming first point of contact for visitors, clients, suppliers, and employees. The role manages incoming telephone calls, visitor inquiries, appointments, correspondence, records, and general front-office administration. The successful candidate should demonstrate excellent customer service, communication, organization, and problem-solving skills while maintaining a professional appearance and ensuring the reception area operates efficiently.

Responsibilities

  • Welcome visitors professionally, identify the purpose of their visit, and direct them to the appropriate employee, office, or department.
  • Answer, screen, transfer, and manage incoming telephone calls.
  • Take accurate messages and ensure they are communicated promptly.
  • Provide visitors and callers with accurate information regarding the company, its services, and office locations.
  • Schedule appointments, meetings, and visitor arrangements and maintain updated calendars.
  • Receive, sort, distribute, and prepare incoming and outgoing mail, documents, and courier deliveries.
  • Maintain an organized, professional, and presentable reception area.
  • Respond professionally to general inquiries, customer concerns, and complaints and refer complex matters to the appropriate team member.
  • Prepare, type, proofread, scan, print, and file documents and correspondence.
  • Maintain accurate visitor logs, telephone records, appointment schedules, and administrative files.
  • Receive payments, issue receipts, and maintain related records when required.
  • Support the preparation of invoices, payment records, balance sheets, or other basic administrative documents when assigned.
  • Monitor office supplies and coordinate replenishment when necessary.
  • Provide general administrative support to management and other departments.
  • Handle confidential information with discretion and professionalism.
  • Follow company policies, security procedures, and health and safety requirements.

Qualifications

  • Two-year diploma, or equivalent qualification.
  • A university degree is not required.
  • One to two years of experience in reception, customer service, front-office administration, or a similar position is preferred.
  • Good command of Arabic and English.
  • Familiarity with Microsoft Office, email, calendars, and basic office systems.
  • Ability to answer telephone calls and communicate information clearly and professionally.
  • Basic knowledge of filing, document management, appointment scheduling, and administrative procedures.
  • Ability to work on-site and commute reliably to the office.
  • Professional appearance and a positive, service-oriented attitude.
